Manage your WarmOpener subscription, update payment methods, view invoices, and understand billing cycles. Everything you need to handle billing and payments.

Accessing Billing

Navigate to Billing in the sidebar to view:

  • Current plan and pricing
  • Next billing date and amount
  • Payment method on file
  • Plan comparison and upgrade options
  • Link to Stripe Customer Portal

Stripe Customer Portal

WarmOpener uses Stripe for payment processing. The Customer Portal is your self-service hub for all billing operations.

Accessing the Portal

  1. Go to Billing page in WarmOpener
  2. Click Manage Billing button
  3. Opens Stripe Customer Portal in new tab

What You Can Do in the Portal

Update Payment Method

  • Add new credit/debit card
  • Remove old payment methods
  • Set default payment method
  • All major cards accepted (Visa, Mastercard, Amex)

View Invoice History

  • See all past invoices with dates and amounts
  • Download PDFs for accounting/reimbursement
  • Check payment status (Paid, Pending, Failed)
  • Invoices sent to email automatically

Update Billing Information

  • Change billing email address
  • Update billing address
  • Add tax ID for invoices
  • Change company name on invoices

Manage Subscription

  • View current plan details
  • See next renewal date and amount
  • Change billing frequency (monthly/yearly)
  • Cancel subscription (effective at period end)

Billing Cycles

Monthly Billing

  • Cycle length: 30 days from subscription start date
  • Renewal: Auto-renews unless cancelled
  • Usage resets: Contacts and emails reset on 1st of month
  • Cancellation: Access continues until period end

Annual Billing

  • Cycle length: 365 days from subscription start date
  • Renewal: Auto-renews unless cancelled
  • Discount: Save 2 months (16.7% off)
  • Usage resets: Monthly limits still reset on 1st of each month
  • Refunds: No refunds on annual plans (switch to monthly at renewal)

Payment Security

  • PCI DSS compliant: Stripe handles all payment data securely
  • No storage: WarmOpener never sees or stores card details
  • 3D Secure: Supported for additional fraud protection
  • Encryption: All payment data encrypted in transit and at rest

Invoices & Receipts

Automatic Invoicing

After each successful payment:

  • Invoice automatically generated by Stripe
  • Emailed to billing email address
  • Available for download in Customer Portal
  • Includes: plan details, billing period, amount, payment method

Customizing Invoices

In the Stripe Customer Portal, you can add:

  • Company name
  • Tax ID / VAT number
  • Billing address
  • Company logo (contact support)

Failed Payments

What Happens

  1. Payment attempt fails (e.g., expired card, insufficient funds)
  2. Email notification sent immediately
  3. Stripe retries payment automatically (4 attempts over ~2 weeks)
    • Immediate retry
    • Retry after 3 days
    • Retry after 5 days
    • Final retry after 7 days
  4. If all retries fail, subscription marked as past due

How to Fix

  • Update payment method in Stripe Customer Portal
  • Contact support if you need help updating payment information
  • Update payment method before final retry to avoid service interruption

Cancellation

How to Cancel

  1. Click Manage Billing on Billing page
  2. In Stripe Customer Portal, click Cancel Plan
  3. Confirm cancellation
  4. Subscription ends at end of current billing period

After Cancellation

  • Access continues: Until end of paid period
  • Data preserved: Contacts, sequences, AI content remain for 30 days
  • Export option: Download contacts as CSV before period ends
  • Resubscribe: Can reactivate anytime, data restored if within 30 days

Refund Policy

  • Monthly plans: No refunds (cancel anytime, access until period end)
  • Annual plans: No refunds after payment (switch to monthly at renewal)
  • Exceptions: Contact support for billing errors or technical issues

Billing FAQs

Can I switch from monthly to annual mid-cycle? Yes. Unused monthly time is credited toward annual cost. You'll be charged the prorated difference immediately.

What currency are prices in? All prices are in USD. Your bank may apply currency conversion fees for non-USD cards.

Do you offer discounts for nonprofits or students? Contact support with proof of status. We review discount requests on a case-by-case basis.

Can I pause my subscription temporarily? No pause feature currently. You can cancel and resubscribe later - data is preserved for 30 days.

What happens if my payment fails during a campaign? Update your payment method immediately to avoid service disruption. Stripe will retry automatically over ~2 weeks, but it's best to fix payment issues right away.

Keep your payment method up to date to avoid service interruption. Set calendar reminders before card expiration dates, and update payment methods immediately if a payment fails.
